One truth for every night: how we built our channel integration

From reconciling calendars by hand to a single inventory that connects channels, our own websites, front desk and owners. What we built, what we learned putting it to work in our hotels, and what comes next with Radar OHOS.

One truth for every night: how we built our channel integration

Every night at a hotel or a villa is sold in many places at once: the major booking platforms, the property’s own website, the front desk phone, the owner welcoming family for the holidays. Modern hospitality asks all of those places to tell the same story at the same moment. This is how we got there, and what daily operation has taught us along the way.

Where we started

Our early years ran on discipline: calendars reconciled by hand, shared spreadsheets, and a team that reviewed every channel before confirming a booking. It worked thanks to the care of our people, and it taught us the lesson that shaped everything that followed: when information lives in several places, the team’s time goes into reconciling it, and that time belongs to the guest.

Step one: calendars in conversation

The first leap was teaching each property’s calendars to read one another. Our villas launched their own websites, which check occupancy on every channel before showing a date. A guest booking direct sees exactly what is available, knows the complete total before paying, and confirms on the same screen.

Step two: a single source of truth

Next we built OHOS, our hospitality operating system. It holds each property’s complete inventory: every room with its number and category, every rate by date, every season, every minimum stay, and every booking with its origin. When the front desk records a booking, the inventory updates instantly, with the date, time and person behind every change.

Step three: full integration

With the truth gathered in one place, the natural next step was for it to flow out on its own to every channel. Today every change (a new booking, a cancellation, a rate update, a block) reaches every platform within minutes, carrying only the dates that changed. Bookings born on the channels flow into the same inventory on their own.

The integration handles the finest details of the operation with ease. At a villa offered whole or by residence, the system understands that booking the villa occupies its residences and that booking a residence occupies the villa, and it publishes each configuration with its availability already resolved. At a 27-room hotel, every category is distributed exactly as it is: the double with a bathtub and the double with a walk-in shower are offered separately, each with its own photography and precise description, because every guest deserves to receive exactly what they chose.

What we learned putting it to work

Since October 1, Hotel Plaza Chihuahua has run entirely on OHOS, and Hotel Casa Coronel is moving toward the same point. Bringing the technology to the front desks of two working hotels in a single month taught us lessons that are now part of our method.

Every piece of data is checked against its source. A booking is confirmed as correct when it matches the platform where it was born: guest, dates, room and amount. Every night we reconcile the inventory against the origin of each booking, and everything recorded carries its time and its provenance.

A category and a room are two different things. Platforms sell categories; the hotel welcomes the guest into a specific room. When a booking arrives with its category, it joins a list of bookings to assign, and the front desk chooses the room with knowledge only the hotel has: the returning guest, the view they asked for, the floor they prefer.

Delicate decisions belong to a person. When two bookings share the same room on the same night, the system flags it on every screen, with names and dates, so the team can resolve it right away and with judgment. Technology puts the information in view; the decision belongs to the team.

A hotel changes systems in a single day, and prepares for weeks. While Casa Coronel completes its transition, its calendar is read and mirrored in OHOS every night. The front desk team learns the tool with its own operation, and on the day of the change everything is tested and in place.

What is defined once applies to every property. Every rule, every screen and every improvement is built for the entire portfolio. A new hotel joins with its own data on a structure already working for the others.

Hotel information is always backed up. Before every significant change, a complete copy of the database is saved, and every decision is written down with its date and its reasoning, so the operation keeps its memory.

What arrived in October

Promotions in every language. The front desk writes a promotion in its own language and the system publishes it in Spanish, English, French, German, Italian and Portuguese. The promotion is marked on the calendar across the nights it covers, so the whole team knows what is on offer and when.

A single message inbox. Guest conversations from every channel arrive in one place at the front desk, with saved replies for frequent questions. Each hotel’s automated messages (on booking, the day before arrival, after departure) are written by its own team, in its own voice.

An app for every owner. Owners view their calendar and their bookings from their phone. With one property they go straight to it; with several, they browse them as cards.

Summaries that open into detail. Every figure on the main screen (occupied nights, arrivals, departures, revenue) leads straight to the bookings behind it.

What everyone gains

The guest finds the same availability wherever they look for us, receives replies in their language and, on each property’s own website, books direct, with the complete total in plain sight and confirmation the moment they pay.

The front desk works from a single screen: bookings, messages, promotions and rooms. Every booking it enters goes out to every channel, and every change is recorded for clear follow-up.

The owner has the certainty that their asset is sold with the same care on every channel, and can see it in their own app whenever they wish.

We, as operator, gain time. The hours once spent reconciling calendars now go into pricing strategy and the guest experience.

What comes next: Radar OHOS

Radar OHOS is the next chapter. It is an open observatory of the hospitality market in Mexico that gathers direct rate references published by the properties themselves, each with its source, its conditions and its date. It is built for people and for their digital agents alike: anyone will be able to understand what they are comparing before they decide. It opens in La Paz, Los Cabos and Chihuahua, and its coverage grows as it gathers evidence.

Its method is as simple as it is demanding. It consults authorized sources, checks currency, dates and data type, keeps the exact time of every reading, and interprets with context, because a whole villa and a hotel room are compared with their full conditions in view.

For our operation, Radar will be the market reading connected from within to OHOS. Each property’s pricing strategy will draw directly on verifiable evidence, and every rate decision will carry its reasoning in plain sight, for the team and for the owner.

I write this from our own operation: we built this technology and we use it every day at the hotels and villas we run. If you own a hotel or a villa and would like this structure working for your asset, let’s talk.
